1. Overnight Schedules
To ease the burden for caregivers working overnight schedules / shifts, OnTarget has created a workflow that will create overnight schedules that are related to one another, and a way for those schedules to automatically clock-out and clock-in the caregiver around midnight.
Creating Overnight Schedules
When adding a new schedule, users can now specify an end date. By default, the end date will automatically be set to match the start date. If the start date changes, the end date will be updated to match.
Note: When the start date and end date are the same,there are no changes in system functionality.
During a new schedule entry, when the entered start date and end date are different the request will be treated as an overnight schedule. When entering an overnight schedule,the duration field will display as hours and minutes.
Note: An overnight schedule must contain a start time and end time.
Once the overnight schedule information is entered and the saved button clicked, OnTarget displays a confirmation notice of the overnight schedule creation and how many days that schedule will span. The user can cancel or continue.
If continued to save, OnTarget will split the schedule into individual schedule segments for each date between the start and end date. End times will automatically be set to 11:59pm, and start times will be set to12:00am for overnight schedule segments. The segments are related to one another as “overnight schedules”.
Overnight Schedule Caregiver Clock Events
When a caregiver clocks into an “overnight schedules”, they will be prompted as to when they would next need to clock out. This is the end date and time of their related overnight schedules.
Note: A caregiver can still manually clock out at11:59p and back in at 12:00a if they so choose.
An OnTarget system process runs each night to identify“overnight schedules” and will handle the intermediary clocking out of the previous day’s schedule (at 11:59pm) and will clock the caregiver into the current day’s schedule (at 12:00am).
The caregiver would then clock out at the end time of their overnight schedule (in our example above at 4:30am)
Note: Users that do NOT clock in for the first shift in the overnight segment series will not result in an automatic clock out and then clocked in. The system will only handle automated clock events if a clock-in occurred.
Note: Deleting a segment for the “overnight schedule”series may result in an interruption in the automatic clock in – clock out process.
- Client Record – Citizenship and Veteran Status Field Requirements
OnTarget has removed the field entry requirement for the Citizenship and Veteran Status fields within the Client record.
Both the Citizenship and Veteran Status fields are located within the client record under the Identification tab and within the Other Details section. Users can select a value from the provided drop-down list for each field to complete an entry if needed or preferred.
Please Note: Manually entering data into either field that does not match a listed drop-down selection will result in the manual entry not saving.
2. Bulk Edit Schedule Update
OnTarget updated the availability for schedule edits for the Bulk Edit Schedule functionality. This update provides users with the ability to edit / change schedule information in bulk for when the settings for the change are associated to Link to Note is “No”.
When setting the bulk edit schedule filter option for Linked to Note as “No”, the scheduled search results will only display schedules that are NOT associated to a created service note. Selecting the “All” option for the Linked to Note filter will produce schedule search results that are linked to associated service notes and not associated to service notes.
OnTarget has updated the availability of schedule entry elements to edit / change in bulk when filtering for not linked to notes to the following:
· Caregiver
· Open Shift
· Service
· Missed Shift
· Status
· Indirect
· Out of Community
· Hold Bill
· Hold Pay
· Comment
Please Note: The availability of schedule information to edit / change when filtering the search for Linked to Note as “All” has not changed.
