Scheduling Window Update

The Schedule window has been redesigned to improve usability and data-entry efficiency. Entry fields have been rearranged into a more logical sequence, and the window layout has been expanded to provide increased visibility and a smoother workflow.

Custom Fields Update

OnTarget has added new custom field types allowing users the ability to enhance their documentation by providing additional options to capture needed information within service notes. The added custom field types include the following:

  1. A new Signature Box custom field type has been introduced, allowing users to capture signatures directly within a service note.
  2. Custom fields using drop-down lists can now be configured to allow multiple selections, enabling users to choose more than one value instead of being limited to a single option.
  3. Custom fields can now be configured for hourly data entry throughout the full duration of a service note. Hourly time slots are automatically generated based on the note’s start and end times, allowing users to enter consistent, repeating information for each hour.

Configuring the New Custom Fields:

Custom field configurations can be accessed within the List Configuration within OnTarget desktop (Configure > List Configuration > Notes > Custom Fields). The process for configuring custom fields has been retained when applying the newly added types.

The Signature Box custom field is a newly added Type is

selectable within the drop-down menu. As with any custom field, the location of

the Signature Box configured to display within the Header, Body, or Footer of

the service note and can be issued as a required field.

Once the Signature Box custom field is configured, OnTarget will appropriately add and display the Signature Box to the service note within the OnTarget desktop and OnTarget Mobile applications.


Multi-Select Drop Down:

When selecting a custom field type of ‘Drop-down List’ to the configuration, a new option is available to indicate if the drop-down list offers the user the ability to select multiple values presented within the list.

Enabling the ‘Multiple selection’ checkbox located to the right of the value list within the configuration allows users to select one or more values for a single custom field.


Hourly Repeating:

Any custom field Type can be configured as an Hourly Repeating custom field which includes the Signature Box and Multiple Selections. Enabling the ‘Hourly Repeating Field’ checkbox within the custom field configuration reserves the custom field for data entry for the field for every hour of the service note based on the start time and end time.

Selecting the custom field as Hourly Repeating automatically updates or enters the Position field as “Hourly Repeating”. When applied to a service note, all Hourly Repeating fields are displayed within their own unique section or area for both the OnTarget desktop and OnTarget mobile applications.

Like all other custom fields, Hourly Repeating custom fields can be configured as required resulting in required data entry for users.

Please Note: The placement of the Hourly Repeating fields within OnTarget desktop and OnTarget mobile applications can NOT be moved. The area in which these are displayed is fixed to ensure the appropriate time slots are presented.

The application of Hourly Repeating custom fields is limited when applying to specific note templates and associated services. Hourly Repeating Custom Fields are not currently supported for the following configurations:

·         Services configured with Duration Only as a user-entered time (a defined start and end time are required).

·         Service notes that use Multi-Day templates.

·         Service notes that use Multi-Time templates.


Custom Field Reordering:

Successfully added or configured custom fields may be reordered inside the grid by dragging and dropping into the preferred order. However, this is restricted in that reordering the custom fields must occur in the same position. Custom fields cannot be reordered outside their configured position.

The order in which the custom fields appear within the grid is the same order available within the service note for OnTarget desktop and OnTarget mobile applications.

Please Note: Reordering Hourly Repeating fields follow the noted restriction. Hourly Repeating fields can only be reordered within other Hourly Repeating fields for the same note template.

Application and Utilization of the Custom Fields – OnTarget Desktop:

Signature Box:

Applying a Signature Box custom field enables users to provide a signature either by drawing it directly or by typing their name and selecting from available font styles. The options Draw Signature and Choose Signature are displayed above the signature box.

Selecting Draw Signature updates the signature box to display a pencil icon in the upper-right corner. Clicking this icon activates the drawing mode, allowing users to create a signature using a mouse, touchscreen, or other compatible input methods.

Selecting Choose Signature allows users to type their name directly into the signature box. After entering a name, a list of available font styles is presented, enabling the user to select and apply their preferred signature format.

Please Note: Once a signature is added to the Signature Box, the recycle icon in the top right corner of the box can be used to reset field to blank.


Multi-Selection:

Configuring a custom field with an Outfitting option allows users to select one or more values from a drop-down menu. As each value is selected, it is displayed within the field as an individual entry, accompanied by an “X” icon that enables users to remove selections when necessary.


Clicking the “X” to the right of each selected value removes that entry from the field. Alternatively, users may deselect a value by selecting it again from the drop-down menu.


Please note: There is no limit to the number of values a user may select for this field.

Hourly Repeating:

Hourly Repeating custom fields, when applied to a service note, generate a consistent set of custom fields for each hour-long time slot. Every time slot includes the same group of Hourly Repeating fields, ensuring uniform data entry throughout the duration of the service. Within the service note layout, these Hourly Repeating sections appear between the Body of the note and the Footer, providing a clearly defined area for time-based documentation.

Please note: The placement of Hourly Repeating custom fields within the service note is fixed for all note types and cannot be modified.

The Hourly Repeating time slots are automatically generated based on the service note’s start and end times. If the time entries within the service note are updated, the Hourly Repeating time slots adjust accordingly to reflect the revised timeframe.

Please note: Hourly Repeating time slots are structured to include the full starting hour and the full ending hour, regardless of the specific minutes entered. For example, if the start time is 8:59 AM, the system will generate a starting time slot for 8:00 AM.

A green checkmark appears next to an hourly time slot when all associated fields—whether required or optional—contain data. Hourly Repeating custom fields that are marked as required must be completed before a user can sign the service note; any missing required entries will prevent the note from being signed.

Application and Utilization of the Custom Fields – OnTarget Mobile Application:

Signature Box:

Similar to OnTarget Desktop, the mobile application offers users the same signature entry options within the Signature Box custom field.

Selecting Draw Signature updates the signature box to display a pencil icon in the upper-right corner. Clicking this icon activates the drawing mode, allowing users to create a signature using a finger swipe within the box.

Selecting Choose Signature allows users to type their name directly into the signature box within the mobile application to then select an available font style.

Multi-Selection:

Multi-select custom fields in the OnTarget mobile application function identically to those in OnTarget Desktop. Users can select one or more values from the drop-down menu to populate a single field.

To remove a selected value, users can either click the “X” icon to the right of the entry or reselect the same value from the drop-down menu.


Hourly Repeating:


The functionality of Hourly Repeating custom fields in the OnTarget mobile application is consistent with OnTarget Desktop. Service notes containing Hourly Repeating fields allow users to enter the same set of data for each hourly time slot. As with the desktop version, the time slots are determined by the service note’s start and end times.

However, the presentation and workflow for Hourly Repeating custom fields in the mobile application differ from the desktop experience. When a service note with Hourly Repeating fields is started in the mobile application, users are immediately directed to the Hourly Repeating time slots page. From this page, users can navigate to the Outcomes/Goals page or the Additional Fields page, where all remaining non-hourly custom fields are available for entry. This navigation structure allows users to enter data across different sections of the service note as needed, without being required to complete Hourly Repeating fields before proceeding.

To enter data for a listed Hourly Repeating time slot, select the desired time to navigate to the corresponding data entry screen. After completing the necessary entries, click the Complete button at the bottom of the page. This action saves the entered data and automatically advances the user to the data entry screen for the next hourly time slot.

On the Hourly Repeating data entry

page, users can click the blue time slot title to reveal a dropdown menu of the

remaining time slots, allowing quick navigation to the next or preferred hour.

Please Note: Similar to OnTarget Desktop, once data entry for an hourly time slot is fully completed, a green check mark will appear, indicating that the entry has been successfully recorded.

The available Hourly Repeating time slots, as noted, are based on the start time and end time of the service note and updating the start and / or end time automatically adjusts the time slots to match the updated note time.

In the mobile application, once a service note that applies Hourly Repeating custom fields is started, an Update Time button is displayed within the Schedule or Note card. Users are required to utilize the Update Time button to edit the start and / or end time for the service note.

Once the Update Time button is clicked, users are directed to a page where the start and/or end time for the service note can be modified. Selecting the Update Time button on this page confirms the changes and automatically updates the associated Hourly Repeating time slots.

Please Note: This process applies only to service notes that require a clock-in and clock-out. Users should update the clock-in and/or clock-out times on the Update Time page to reflect the changes in the service note.

Please Note: The Update Time button will only be available for services that require a timeclock after users have both clocked in and clocked out. Hourly repeating time slots are calculated based on the initial clock-in time and the scheduled end time before a clock out is completed.

To ensure users are provided with accurate Hourly Repeating time slots when a service note is initiated, users who clock in late for a scheduled shift that requires a timeclock are presented with an option to either modify the clock-in time or clock in at the current time. The availability of this option depends on the number of minutes elapsed since the scheduled start time:

  1. If a user attempts to clock in 7 minutes or less after the scheduled start time, the clock-in process proceeds as normal.
  2. If a user attempts to clock in 8 minutes or more after the scheduled start time, the user is presented with the option to Clock In or Modify Time.


Selecting Modify Time directs the user to the timeclock entry page, where the Clock In time can be entered and applied to the service note. The Modify Time function allows only manual entry of a Clock In time; the option to enter a Clock Out time is not available through this feature.
