Shift Schedule UI / UX Updates
OnTarget has redesigned the Shift Scheduling user interface to provide a more intuitive, efficient, and robust experience. The updated design streamlines the creation and saving of shift schedules while introducing enhanced capabilities to verify caregiver availability for a selected site. These improvements help prevent overlapping shift times across multiple locations and reduce conflicts with other scheduled activities.
While the core functionality for creating shift schedules remains intact, the modernized interface offers a cleaner layout and a more user-friendly workflow to support optimal productivity. The updated design also incorporates shift segments, allowing users to easily expand or collapse detailed information for assigned caregivers and clients as needed.

Each shift is displayed according to the selected date or day and is shown in a collapsed view by default. Selecting the Caregiver header expands the section to reveal the caregivers assigned to the site, allowing users to choose the appropriate individual for the corresponding shift.

Selecting the checkbox next to a caregiver assigns that individual to the corresponding shift. To improve scheduling accuracy, a Shift Conflict Tracking column has been introduced, providing visibility into potential conflicts for caregivers who may have overlapping shift times within the same site or across multiple sites. The Shift Conflict Tracking column displays one of the following indicators:
- Available – Indicates that the caregiver can be assigned to the selected shift and has no overlapping time conflicts.
- Unavailable – Caregivers marked as Unavailable do not initially appear in the assigned caregiver list for the selected shift. Selecting Show All reveals all caregivers flagged as Unavailable. This indicator identifies caregivers who are scheduled for overlapping shifts within the same site, across different sites, or during conflicting time periods.

Please Note: OnTarget does not prevent users from assigning an ‘Unavailable’ Caregiver to a selected shift time.
Clicking the “Unavailable” indicator for the selected caregiver opens a pop-over window displaying a daily calendar, providing users with clear visibility into any scheduled shifts that overlap within the specified time block.

Similar to assigning caregivers to a corresponding shift, clicking the “Clients Count” column header displays the clients associated with the Shift Site, allowing users to select those present during the scheduled shift. The client’s default authorized residential service is automatically populated to streamline the selection process.

Please Note: As caregivers or clients are selected, the “Caregivers Count” and “Clients Count” fields automatically update to reflect the number assigned compared to the total available for the shift.
The option to add a Flex Shift remains available and can be accessed by selecting the Add Flex Shift button located in the lower-left corner of the screen. The steps for creating a Flex Shift are unchanged. Once added, the Flex Shift will appear within the updated Shift Schedule window. Caregiver and Client selections function in the same manner as they do for configured shifts.
Flex Shifts are distinguishable by the Delete icon positioned to the right of the added shift. Selecting this icon will remove the Flex Shift from the Shift Schedule.

Bulk Edit Shift Schedules
In addition to the updated UI / UX for Shift Schedules, OnTarget has introduced new functionality that enables users to perform Bulk Edit action for Shift Schedules presented within a streamlined and user-friendly interface.
The new functionality can be accessed from within the Scheduling Grid view. Selecting the Bulk Edit / Delete button at the top of the screen, followed by Bulk Edit Shift Schedules, opens the bulk edit window for managing Shift Schedules.

The Bulk Edit Shift Schedule window enables users to apply specific search criteria to display relevant results for editing assigned Caregivers.
A search requires a From Date, To Date, and Caregiver filter. Additional optional filters are also available. These filters are displayed in a side panel and, when selected, are moved into the main section of the window, allowing users to enter further search criteria as needed.

Once the search criteria have been defined, clicking the ‘Run Search’ button will initiate the process and display the resulting records. Within the search results, the user may manually select one or multiple shift schedule records, or click the checkbox in the top-left corner to automatically select all displayed records.

Selecting one or multiple shift schedules enables the ‘Edit Selected Record’ button, located in the bottom-right corner. Clicking this button opens a new window where the available edit options are presented.
Currently, there are two Caregiver Edit options:
- Unassign – Removes the Caregiver from the selected shift schedules.
- Replaced By – Replaces the assigned Caregiver with a newly selected Caregiver for the selected shift schedules.
Please Note: If the selected shift schedules span multiple sites, the Replaced By option will not be available. To use this option, all selected shift schedules to edit must belong to the same site. A warning message is presented to the user as a reminder.

The Bulk Edit Shift Schedule window contains the selected record to edit at the top and the edit options at the bottom.

Please Note: When using the ‘Replace By’ edit option, a drop-down menu of caregivers assigned to the site is provided to select the desired caregiver.
Once the preferred edit option is selected and any additional information is entered, the ‘Perform Bulk Edit’ button, located in the bottom-right corner, becomes active. Clicking this button initiates the edit process. Upon completion, the updated records are displayed at the top of the window and highlighted in green to indicate a successful update.
