Residential Overnight Shifts
Residential Shift Configuration
OnTarget has enhanced the application to support the creation of Residential Overnight shifts. This enhancement improves efficiency for end users by enabling streamlined data entry and eliminating the need for users to remember to clock out and clock back in during overnight shifts.
Within the Shifts configuration (List Configuration > Scheduling > Shifts), shift setup has been enhanced to allow users to define start and end times that span overnight hours. The selection of Applicable Days corresponds to the day on which the overnight shift begins.

When saving or updating a configured overnight shift, a notification message is displayed to inform the user how the overnight shift is applied within a Shift Schedule and to confirm its successful creation or update.

A new column has been added to the Shift configuration window to automatically identify and highlight overnight shifts, making them easy for users to recognize. Once an overnight shift is created, the corresponding checkbox is automatically selected. All other settings, such as color selection and cloning, remain fully available for overnight shifts.

Residential Shift Schedule – Overnight Shift
Once the overnight shift has been created and added to the required Site records, it becomes available for use within the appropriate Shift Schedules. Overnight shifts within a Shift Schedule are clearly identified by an “Overnight” indicator. Hovering over this indicator displays a detailed view showing how the overnight shift is allocated across dates.

Saving a Shift Schedule that includes an active overnight shift automatically creates a second, linked shift schedule within the Scheduling Calendar. This linked schedule represents the second portion of the overnight shift. Within the Scheduling Calendar, the two portions are identified in the shift title as Before Midnight and After Midnight.
Although the overnight shift is divided into Before Midnight and After Midnight segments, any edits or changes made to one segment are automatically synchronized with the linked segment.

Residential Shift Note – Multi-Day Overnight Shift
With the implementation of overnight shifts, users can create a single Shift Note that encompasses both portions of the shift. Shift Notes created for overnight shifts use a multi-day format, with the before-midnight and after-midnight time segments automatically included.

Please Note: Use of Residential Overnight Shifts requires the associated service(s) to be configured with Multi-Day templates in order for Shift Notes to render correctly.
Users have limited control over the times displayed within an overnight Shift Note. The automatically added date and time entries cannot be removed, nor can additional time entries be added. Users may, however, edit specific time fields as outlined below:
- The Start Time of the Before Midnight portion may be edited; however, the 11:59 PM end time cannot be modified.
- The End Time of the After Midnight portion may be edited; however, the 12:00 AM start time cannot be modified.

Please Note: Any updates to Shift Note times apply to all
caregivers assigned to the service note. When time is edited, a notification is
displayed to ensure users are aware of the impact of the change.

Residential Shift Note – Multi-Day Daily Shift Note
In addition to supporting multi-day note templates for overnight shift notes, OnTarget has introduced new functionality for Daily Shift Notes. Daily Shift Notes allow users to create a single Shift Note that covers all shifts within a Shift Schedule, including overnight shift hours. Caregivers share this single Daily Shift Service Note to collaboratively enter and complete documentation.
Use of the Daily Shift Note is configurable within Note Configuration and can be enabled by selecting the checkbox labeled “Utilize Daily Shift Note.”

Please Note: This configuration is available only when the selected Service record is configured for Shift Scheduling and Group.
Please Note: Enabling the “Utilize Daily Shift Note” option requires the selected Service to be configured with a Multi-Day Default Template.
Similar to Overnight Shift Notes, when a Daily Shift Note is created, all shifts for the selected date are automatically added to the service note. Users may edit the start and/or end times of the multiple shifts included within the single Shift Note.

OnTarget automatically adjusts the shifts displayed within a Daily Shift Note based on the caregiver accessing the note. Each caregiver will only see the shift(s) to which they are assigned when entering data for the Daily Shift Note.
Please Note: Supervisors and other OnTarget users who are not assigned caregivers will have access to view all shifts listed within the note.
Additionally, Shift Note DMS records have been updated to support the enhanced Overnight and Daily Shift Notes. All applicable dates and times are accurately reflected within the service note DMS document.
