02 Time Records Automation

Time Records Automation is the second in a series of courses designed to bring your organization greater efficiency on various levels. The 3 courses included in the Automation and Efficiency series are as follows:


  1. Notes Automation
  2. Time Records Automation
  3. Timesheets Automation

Each automation process is optional and can run independent of one another or in conjunction with one another, depending on your needs. This course will focus on the configuration points for enabling Time Records Automation.


Enable Time Records Automation

Automatic Creation of Time Records from Approved Notes eliminates the step of manually creating time records.


Steps to Enable Time Records Automation:

1. Configure > List Configuration > Billing > Rules.

2. Check “Auto Create Time Records on Note Approval.”

3. Click Save.

4. Once the note is approved for billing and/or payroll, the time record will automatically be created.

    • Note: All Note Unapproval functionality will still apply. Any associated time record in revision mode will still need to be evaluated and pulled out of revision status manually (once re-approved) from Notes using the “Create Time Records” function.

Validate Time Records

Validate Time Records: This function is intended to support Time Records Automation as it allows you to present validations at any time.

    • Note: historically, validations were only presented as certain functions were completed within the system.

Steps to Request Validations:

1. Billing >Time Records.

2. Enter in Search Criteria.

3. Click Validate Time Records button.

Create Tasks

As a part of the time records validation functionality, you now have the option of creating tasks directly from the time records validation window. Note: tasks are sent to the corresponding supervisor.


Create Tasks from Validations (optional):

  1. Check the validations in which a task should be sent to the corresponding supervisor (to check all validations, click the checkbox at the top left of the list).
  2. Click “Create Tasks”.
