Managing Treatment Plans
Getting Started
There are several options for managing treatment plans. These include plan cloning, uploading treatment plans, and creating tasks from plans. All of these options are found against the Treatment Plan line with the start date and end date of the plan.
Clone Plan
- Open the client record and click on Treatment
- Click on the Clone Plan button
Helpful Hint: The Clone Plan button is typically used when the current plan has ended and new start dates and end dates are in effect under a revised or updated plan.
- Enter the plan Format, Type, Start Date and End Date for the cloned plan.
- Click on Save
Helpful Hint: Goals and outcomes from the newly cloned plan can be deleted if they are no longer applicable. However, once a note is created with any of the new goals or outcomes, they can no longer be deleted from the cloned plan.
DMS (Document Management System)
DMS stands for Document Management System. This is how the plan can be uploaded into the system. Uploading the full treatment plan may be important so that all components of the plan can be reviewed by users who have access to the client. It may also be important to upload the plan for routine chart audits.
- Click on the DMS button
- Enter a plan description.
Helpful Hint: Be sure to enter a unique description for the treatment plan. This will aide in easier retrieval of the plan from the DMS search interface.
- Click on the Browse button
- Navigate to the file on your computer and click on the Upload button
Helpful Hint: Once you have uploaded the treatment plan file, you can easily retrieve the file clicking on the same DMS button and then clicking on the download arrow
DMS Process
Create a Task from a Plan
The Tasks button at the treatment plan is typically used to create alerts/reminders as to when the plan is expiring, goals need to be updated, etc. Any user with access to client treatment plans is allowed to add a task and may assign it to another staff or to themselves. Tasks show up on the assignee’s task dashlet, and if task email notifications are enabled, an email will be sent as well.
- Click on the Task button
- Click on the Add a Subtask button
- Find the person that you want to send the task to from the Assigned To drop-down.
Helpful Hint: If you need to send the task immediately on save, leave the Reminder Date field blank. Otherwise, enter a Reminder Date to control when the task shows up on the task dashlet.
- Enter a description for the task. Note: this is the actual narrative of the task.
- Click on Save
