14 How to Configure Note Keys

Note Keys: Overview

If grid notes are being implemented, note keys will need to be configured. These keys are the method by which goals are addressed. Typically, keys are used to show the intervention that was provided against each goal and then an assessment is made to indicate whether or not those interventions assisted the client in reaching the goal. Location keys are also available (support request required).

Configuring Note Keys

  1. Click on Configure
  2. Click on List Configuration
  3. Select Notes > Note Keys

  1. Click on the Add Note Key drop-down and select one of the following key types: Intervention, Assessment, or Location of Service

  1. Enter the Note Key Code.
    • Note: this is how the key will be displayed for the staff when their note is created.
  1. Enter a Description.
  2. Select from any of the optional checkboxes.
  • Is a Comment: select this checkbox to turn the key into a comment box.
  • Require Comment: select this checkbox if a comment is required when a particular key is used. With this option selected, staff will not be able to save their note unless a comment is entered.
  • Show in Dashlet: select this checkbox if you want the key to be displayed in the dashlet and included in the calculations for percentage of progress.
    • Helpful Hint: For example, if you don’t want to see “N/A’s” and don’t want to include them in percent of progress calculations, leave the corresponding key deselected here.

  • Allowed Keys: this is where you can specify the note keys that can be used for documentation against a grid note.
    • Helpful Hint: This is a multi-select drop-down which allows you to select multiple allowed keys by clicking multiple lines.


  1. Click Update to save the key. Once saved, you have the option of editing the key by clicking on the edit icon or deleting by clicking on delete
    • Helpful Hint: Drag and drop rows to change the order of note keys (determines how they are displayed on associated notes).
