Paychecks Overview
Paychecks Search Filters
The paychecks search grid is where users can search for particular paychecks using filters to restrict the search results. The various filters that can be used to restrict the paychecks search grid are explained below.
- Clear Filters is used to reset all filters.
- Alternate method: X out of each field individually.
- Employee Name will filter the grid based on the employee’s name.
- Check Number will filter the grid based on the check number(s).
- Check Date will filter the grid based on the date(s) entered.
- Pay Period will filter the grid based on the pay period selected.
- Note: Pay periods are only visible once corresponding checks have been calculated.
- Pay Period Start will filter the grid based on pay period start date (range) entered.
- Pay Period End will filter the grid based on pay period end date (range) entered.
- Cost Center will filter the grid based on employee cost center.
- Department will filter the grid based on department.
- Employee Pay Type will filter the grid based employee pay type. Note: Choices include Hourly or Salaried.
- Employee Pay Period will filter the grid based on employee pay period.
- Note: Choices include Weekly, Bi-weekly, Semi-monthly or Monthly.
- Job Title will filter the grid based on job title.
- Credentials will filter the grid based on credentials.
- Printed will filter the grid based on print status.
- Note: Choices include Yes or No.
- Voided will filter the grid based on void status.
- Note: The default setting is “No”, but can be changed to “Yes” to search for voided checks.
- Reports To will filter the grid based on the employee’s assigned supervisor.
- Note: The “Reports To” assignment is made under the employee Demographics tab
- Date Employed will filter the grid based on the date of employment date range entered.
- Actual Time will filter the grid based on actual time status for payroll time.
- Note: Choices include Yes or No. Yes will filter the grid for data with associated time records. No will filter the grid for data without associated time records.
- Timesheet will filter the grid based on whether or not the check has time that is associated with a timesheet.
- Note: Choices include Yes or No.
- Disbursement will filter the grid based on the pay disbursement method.
- Note: Choices include Check or Direct Deposit.
- Reduce Salary will filter the grid based on whether or not the check contains a salary reduction.
- Note: Choices include Yes or No.
- Business Pay Type will filter the grid based on the pay type(s) entered. The grid will return checks with any associated pay types.
- Pay Deduction will filter the grid based on the pay deductions(s) entered. The grid will return checks with any associated pay deductions.
Using the Search Grid Filters
This section of the course will guide you through the process of filtering and searching for paychecks.
1. Click on Payroll and expand
2. Click on Paychecks
3. Use the Paychecks Search grid filters to locate the paychecks that you wish to review.
- Helpful Hint: Many of the filters allow for multiple entries. Simply click on “Add filter” to add any additional filters (if available).
4. Click on the Clear Filters button to clear any filters that you have entered
5. Click on the Search button to refresh the grid with the filters the you have entered
Check Review
Review multiple checks at once using the Check Review function.
From the Paychecks desktop, click on the Check Review button
- Note: Review all checks in the grid by selecting "From All" or select checks to review and choose the "From Selected" option.
There are 3 versions of the report available…
Check Review: This report displays each of the check stubs selected in succession.
Check Review Summary: This report is a 1 page report that provides grand totals for the checks in the grid.
Check Review Unformatted: This report shows the break down on units by pay type and cost center.
Print Checks
Print checks by clicking on the Print Checks button. Once printed, checks are assigned a check number in the system.
From the Paychecks desktop, click on the Print Checks button
- Note: Print all checks in the grid by selecting "From All" or select checks to print andchoose the "From Selected" option.
- Helpful Hint: It may be beneficial to use the disbursement filter to separately prepare the direct deposit file and the physical checks if both disbursement types are included. This is a good way to save paper if direct deposit stubs aren't needed, while keeping in mind that OnTarget user will still get their stub on their dashboard in the Paychecks dashlet.
Print Options
Check Register
Review multiple printed checks at once using the Check Register function.
From the Paychecks desktop, click on the Check Register button
- Note: Review all printed checks in the grid by selecting "From All" or select checks to review and choose the "From Selected" option.
There are 3 versions of the report available…
- Check Register: This report displays each of the check stubs selected in succession.

Reprint Checks
If you need to reprint checks, click on the Reprint Checks button.
From the Paychecks desktop, click on the Reprint Checks button
- Note: Reprint all checks in the grid by selecting "From All" or select checks to reprint and choose the "From Selected" option.
Void Checks
If you need to void checks, click on the Void Checks button.
From the Paychecks desktop, click on the Void Checks button
- Note: Void all checks in the grid by selecting "From All" or select checks to void and choose the "From Selected" option.
Delete Checks
If you need to delete checks, click on the Delete button.
- Note: Only checks that have not been printed can be deleted from the system. If you need to remove printed checks from the system, please reference “Void Checks”.
From the Paychecks desktop, click on the Delete button
- Note: Delete all checks in the grid by selecting "From All" or select checks to delete and choose the "From Selected" option.
Exporting from the Grid
This section of the course will show you how you can export a print-friendly grid containing all of the selected column headers and corresponding information from the paychecks search grid.
1. From the Paychecks search grid, use the filters to locate the paychecks information that you want to export.
2. Click on the Search button to refresh the grid
3. Click on the Export button (bottom left of grid)
4. Click on the Export drop-down from the report window to select a file type for export or click on the print icon to print
